Chief of Staff to the CEO

Job Description


Summary

Right-hand person and trusted advisor to the CEO dedicated to maximizing the CEO’s focus and productivity by optimizing the administrative workflows of the CEO and the Executive Team. The Chief of Staff will be responsible for managing the day-to-day operations of the CEO, driving the efficiency of the Executive Team, and being the glue that fosters goal alignment, shared ownership, and operational excellence for the Executive Team and Directors.

The Chief of Staff will use strong leadership and problem-solving skills to enhance processes for innovation, governance, decision-making and driving change at all levels of the organization by playing a key role in various aspects of the business, including organization-wide strategic and operational planning, board governance and relations, cross-functional collaboration and team culture, communication and growth.

Importantly, the Chief of Staff will serve as the conduit for organization-wide knowledge to better inform and execute the CEO’s vision for achieving transformational growth while continuing to enhance operational excellence.


Responsibilities
  • Plan, direct and optimize all administrative activities for the CEO including management of project, time, calendar, program, internal and external requests and all other logistics; represent the CEO at internal and external meetings and events as needed.
  • Organize, prioritize and follow-up on mission critical issues with the Executive Team; synthesize and communicate required information at all decision points to the appropriate decision-maker(s); elevate bottlenecks and failure points to the CEO; build and maintain comprehensive knowledge of departmental and interdepartmental functions and processes to best advise the CEO from an organization-wide perspective.
  • Design and implement operational procedures and planning for the Executive Office, particularly for day-to-day management of shifting business priorities; lead annual goal setting process and ensure cross-functional alignment with various strategic dependent activities; develop and implement standards to drive operational excellence that become part of the organizational culture.
  • Understand the CEOs vision, develop major goals and design and lead implementation initiatives including change prioritization workshops to drive integration into current organizational processes; identify, drive, and track key decisions and results; build and maintain strong relationships with the Executive Team and Directors across the organization to facilitate collaboration and maintain momentum.
  • Serve as the CEO’s point of contact for Directors; foster goal alignment and a collaborative culture amongst Directors; organize dedicated forums for Directors to contribute to the CEO’s vision and its implementation, increase Directors’ group cohesion and collaboration and foster a sustainable growth culture.
  • Serve as the CEO’s point of contact for the Board of Advisors; lead board meeting planning and communications end-to-end including agenda preparation, board pack compilation, review cycle management, onsite execution coordination and ongoing oversight of the board engagement framework to ensure alignment with the organization’s budgetary, strategy and goal setting cycles; execute board effectiveness evaluation process to ensure appropriate engagement, effectiveness and decision-making support; design and manage board education program to best leverage internal and external resources; design and implement processes and tools to seamlessly on-board and integrate new board members; promote positive board interactions with the CEO and Executive Team.
  • Lead and manage all executive support staff for the Executive Office, and as needed for Directors; lead and manage the executive assistant program to facilitate maximum process and systems improvements, change management, collaboration and diversity & inclusion practices.
  • Supervise two Special Assistants

  • Organizational change management best practices and implementation requirements, including knowledge of human behavioral change best practices required for long-lasting organizational change


Education and Experience
  • BA/BS required
  • MBA degree, or equivalent experience in organizational leadership and organizational behavior required
  • 12-15 years of experience required
